Overview
When creating a data export in Custodia, there are several advanced configuration options available beyond selecting fields and filters. These additional checkboxes allow you to control how records are grouped, whether certain transaction types are included, and how exported data is handled moving forward.
Understanding these settings is especially important for finance and operations teams that rely on exports for accounting uploads, reconciliation, compliance reporting, or audit preparation.
This article explains each of the additional export options so you can determine when to use them and how they impact your exported data.
Credit Summary Lines
Group By Cost Centers
When selected, exported records will be grouped according to their assigned Cost Center.
This is useful for finance teams that need reporting broken down by department.
Group By Classes
This option groups exported records by Class.
Classes are typically used for accounting segmentation such as project codes.
Memo / Default Memo
This allows you to include a Memo field in the export.
If selected, you can define a default memo value that will populate across exported records.
Incremental Export
(Exported records will be locked for future updates)
Exported records are locked from future modifications in subsequent exports. This is particularly important for:
- Accounting integrity
- Preventing duplicate journal entries
- Ensuring financial audit consistency
This option is commonly used for recurring finance exports that feed into external accounting systems.
Include Pending Transactions
Selecting this option includes transactions that are still in a pending state and have not yet fully settled.
By default, the platform excludes pending transactions until they are finalized.
Include Out-of-Pocket Reimbursable Expenses
This includes employee-submitted reimbursable expenses that were paid personally and are awaiting reimbursement or processing.
Share This Export Template
When selected, the export configuration becomes available to other authorized users within your organization.
If left unchecked, the export template remains private to the user who created it.
