Overview
It's common for a single user (e.g., a team lead, finance manager, or executive assistant) to perform transactions on behalf of multiple subsidiaries.
To ensure that the spend is accurately attributed to each subsidiary, Custodia recommends the following structure:
- Create a separate Activity for each subsidiary.
- Assign a dedicated card to each Activity.
- Use the “Bound to Card” feature to ensure that each card can only be used with its linked Activity.
This way, each transaction is logged under the correct subsidiary, ensuring budget integrity and clean reporting.
How to Change the Subsidiary of an Activity
⚠️ Important: The Subsidiary field can only be changed when editing an existing Activity.
At the moment, the Subsidiary cannot be set during the Activity creation process.
Steps to Edit the Subsidiary:
- Navigate to the “Activities” section from the top menu bar.
- Locate the activity you wish to edit (you can use the search bar or filters to narrow your results).
- Click on the three-dot menu (•••) next to the Activity and choose Edit.
- In the edit panel on the right, locate the Subsidiary field (highlighted in the screenshot below as #2).
- Click the dropdown and select the appropriate subsidiary.
- Click Save to apply the changes.

Binding Cards to Subsidiary-Specific Activities
To prevent confusion or misattribution of spend, each card should be tightly coupled with its corresponding subsidiary's Activity.
Best Practice:
- Issue one card per subsidiary.
- Use the “Bound to Card” feature to ensure that this card can only be used with the relevant Activity.
