You can leverage the Custodia activity functionality when you need to spend money on behalf of your organization that higher than the discretionary limits put into place by your finance team. Depending on your specific spending profile, activities cover a large range of business expenses including:
- Business Trips
- Client Meetings
- Office Supplies
- IT Hardware
- Team Building
- Marketing
We allow you to easily create activities from our mobile and web app environments.
Mobile App
Log in to the mobile app on your iPhone or Android device.
- From the Activity screen, press on the Add icon on the top right.
- Press on a New Activity that best describes your expense type.
- Enter all of the information for your request.
- Select a Budget type that is most relevant.
- Enter the amount that you need for your purchase or purchases.
- Select an expiration date.
- Add any relevant Tags, Contacts, Clients or Projects.
- Add Expense Details.
- Select the Cost Center that should be used for this expense.
- Press the Submit button at the top of the screen.
- Depending on your organization's policy, your update will either be automatically approved by Custodia or sent for manual approval.
Web App
- Log in to the web app from your browser (Chrome is recommended) at https://my.custodia.ai.
- From the top menu select Activities->New Spend Request.
- Enter all of the information required for your spend request.
- Select the Expense Type most relevant for your request.
- Enter the Amount that you need for your request.
- Select the Currency desired for your request.
- Select a Date that this request should expire.
- Add a description of the expense.
- If necessary, add tags associated with the request.
- If necessary, enter the merchant or merchants that will be used when spending money against this request. Please note that if the merchant does not match this activity will be ignored at the time of the transaction.
- Change the Cost Center, if necessary. The default one will be entered automatically for you.
- Press Next.
- The next screen will allow you to review the request. After review, press Activate.
- Depending on your organization's policy, your update will either be automatically approved by Custodia or sent for manual approval.
