Overview
The Activities page in the Custodia web platform provides administrators with a structured view of every activity in the system, organized by lifecycle status. Each tab represents a distinct state, allowing admins to quickly identify whether an activity is pending approval, available for spend, active, expired, archived, or scheduled for the future.
Administrators can manage and review all activities by navigating to Activity > Activities
At the top of the screen, you will see several tabs. Each tab represents a specific activity status and helps you quickly filter and manage records based on where they are in the lifecycle.
Group Activity Toggle
On the Activities screen, administrators will also see a Group Activity toggle.
When enabled, this allows you to:
- View activities created for multiple users
- Manage team-based or bulk activity requests
- Identify shared activities assigned across departments or groups
When disabled, the view focuses on individual user activities only.
Pending
Displays activity requests that are still awaiting approval.
These have not yet been approved and are not available for card transactions.
Available
Shows activities that are currently eligible for card charges.
If an activity appears here, cardholders can actively spend against it.
Active
Includes activities that are active as of today’s date.
*Please Note*
An activity can be Active but not Available.
- For example, a locked activity may still fall within its valid date range (active), but it is temporarily restricted from use (not available).
Rejected
Lists activities that were denied during the approval process.
These cannot be used unless a new request is submitted and approved.
Expired
Displays activities that have passed their end date.
They are no longer valid for transactions.
Archived
Shows activities that were manually archived by an administrator.
Archived activities cannot be used for charges, but administrators can unarchive them from this tab if needed.
Future
Includes activities with a start date in the future.
These are approved but not yet active.
All
Provides a complete view of every activity, regardless of status.
This is useful for auditing, reporting, or broad searches.
Deleted
Displays activities that have been deleted from the system.
Deleted activities are permanently removed from active use and are retained for historical reference only.
