Meet AI Assistant in Web UI 2.0

We’re excited to introduce AI Assistant in Web UI 2.0 — a new, conversational way to manage everyday spend tasks in Custodia.
With AI Assistant, you can simply describe what you need, and it will guide you through the process, ask for any required information, and help you complete the task — all while following your organization’s existing policies, permissions, and approval flows.
For its initial release, AI Assistant supports two key workflows: Out-of-Pocket Expenses and Spend Permissions, with more functionality and workflows coming in future releases.
What can AI Assistant help with?
💳 Out-of-Pocket Expenses
Paid for a business expense using your own money? AI Assistant can guide you through submitting an Out-of-Pocket expense, collecting the necessary details and receipt along the way.
✈️ Spend Permissions
Need a Spend Permission for an upcoming business trip, project, or another business expense? Tell AI Assistant what you need, and it will guide you through creating the request, including the amount, dates, and other required information.
Designed for different roles
AI Assistant is built to support different people across your organization while respecting the permissions already configured in Custodia.
- Employees can submit Out-of-Pocket expenses or request Spend Permissions through a simple conversation with AI Assistant.
- Assistants can complete these workflows on behalf of the people they support, based on the permissions already available to them.
- Finance teams and Budget Owners benefit from properly submitted requests and more complete expense information, helping reduce missing details and unnecessary follow-ups.
AI Assistant does not create or bypass access permissions. Your organization’s existing policies, permissions, and approval processes remain in place.
Two workflows today — with more to come
When you open AI Assistant, simply choose the workflow that matches what you need:
- Out-of-Pocket — for a business expense you have already paid for personally and need to submit.
- Spend Permission — for upcoming spend that requires an allocated amount, such as a business trip or project, with the relevant limits and date range.
AI Assistant will then guide you through the process and ask for any additional information it needs.
These are the first workflows available through AI Assistant. We’ll continue expanding its capabilities and adding more functionality to support additional spend management tasks in future releases.
Where can I find AI Assistant?
You can access AI Assistant directly from the Web UI 2.0 menu.
Please note that if you already have an existing card transaction that is missing a receipt, you should continue using Receipts Due. The Out-of-Pocket workflow in AI Assistant is intended for expenses paid personally and submitted for reimbursement.
